Money Back Guarantee

The Swot Shop offers a seven-day money back guarantee to first time customers.

The guarantee means that you will receive a full refund of your tuition fees if you decide after the first class that the course did not meet your expectations, or it is not right for your child.

This offer is available to all new Swot Shop customers the first time you sign up for a Swot Shop program. It can only be redeemed once per child and only for one program.

Please note that it does not apply to students who have previously attended The Swot Shop, including those re-enrolling in the same or a different program.

You must notify us in writing within seven days of the first class to be eligible for a refund. Please note that this policy does not apply to our holiday programs.

Payment and Invoicing

Payment for Swot Shop programs and courses are required up front, prior to commencement of a course. Payments can be made per term or semester (two terms). A reduced fee applies to semester payments.

If your child begins a program after the term has started, you will only be charged pro rata e.g. for the lessons left in that term counting from the day your child starts.

Refunds and Cancellations

You may cancel your enrolment at any time and will be refunded your fees in full except for a cancellation fee equivalent to two weeks of your tuition fees.

You will be refunded your fees via direct deposit or another preferred method within 14 days of notification. Alternatively, you may ask for the refund to be used as a credit towards other courses at The Swot Shop or payment for future programs.

In the last five weeks of Term 4, we do not offer refunds. At that late time of the year, it is unfortunately too late to enrol a new student to replace a vacant space.

Enrolment

The Swot Shop programs are developed for academically gifted or high potential students and aimed at enriching and extending their learning at school.

Students are placed in narrowly ability streamed classes to allow them to learn in a group environment with students of a similar ability.

To achieve this, students in Year 2-7 are offered a place in our programs after and based on the results of an entry test taken at our main centre in Baulkham Hills.

If you wish to enrol your child in our programs, please note:

· The entry tests are structured and written specifically for our programs so that students who pass the test are likely to enjoy and benefit from our programs.

· Not all students who sit an entry test will pass and be offered a place. About 40-80% of students who sit our entry test, pass the test. Pass marks are based on what we from experience know is required due to the difficulty of our programs. Pass marks are not based on a set number of places available in our programs.

· If your child does not pass the test the first time, they may re-sit the test after approximately 12 months or, in a single subject, after three months. The single subject re-test is applicable for students who have enrolled in one of our programs after partial success in the entry test but would like to re-sit the subject they did not initially qualify for.

To be eligible for the Springboard Preschool to Year 1 programs, students are not required to sit an entry test but they must be:

· In the final year of Preschool (the year before they start school) and at least 4 years of age to enrol in the Preschool program

· In Kindergarten at school to enrol in the Kindergarten program

· In Year 1 at school to enrol in the Year 1 program

Springboard students who do not meet these eligibility criteria are invited to seek enrolment the following year in their most age appropriate program.

Progression and Participation

In our programs, students will regularly sit assessments to ensure they are continuously challenged and can progress at the right time to the next program level.

Sometimes, students may have difficulty coping with the challenging nature of our courses. If that is the case and our education team becomes concerned about the progress of your child, we will contact you.

As programs are taught in small groups of about 10-16 students, and the pace and difficulty of the programs is high, expectations of students’ behaviour in the classroom are equally high. Behaviour issues are not common. Should we have any concerns about your child’s behaviour in the classroom, we will contact you.

Sometimes, in rare circumstances, we may conclude that it is best for your child not to continue in a course. This will typically be because we deem that the difficulty level of the next program is too complex for your child based on their past performance.

In such case, we will always take great care to assess the situation using all available test and other data. We will also keep you informed and make such decision in close consultation with you.

Make Up Classes

The Swot Shop offers students the opportunity to replace a class they are unable to attend with a make up class during the same Swot Shop week.

There is no need for you to reschedule the class. Students can simply present at reception and receive a make up card which they take to class and hand to their teacher.

To find a suitable make up class time, please check the class timetable on our website and remember that our week is from Monday to Sunday. The make up class must therefore be completed within that timeframe to cover the right content.

To avoid classes from overfilling, kindly note that your child can only attend two make up classes per term. Thank you for your understanding in this matter.

Missed Lessons

It is preferred and most beneficial for your child’s learning if your child attends a make up class when absent from their regular class.

However, if this is not possible, you may choose to have the lesson materials emailed to you so that your child can complete the lesson at home. Requests for lesson materials must be made within two weeks of the missed class.

To protect our intellectual property, we only allow two emailed lessons per term per student. Thank you for your understanding in this matter.

Intellectual Property Use and Distribution

All program materials at The Swot Shop have been developed, curated and collated specifically for our programs and the purpose of educating students enrolled in our programs.

To protect the integrity of programs and courses, please note that all course materials are the intellectual property of The Swot Shop. These materials are provided solely for use in a program run by The Swot Shop for your child’s personal educational use. These materials must not be copied, distributed, or shared with anyone.

By enrolling in our programs you agree to not sharing, distributing or reproducing our materials to any third party in any form, physical or digital.

Should you breach our intellectual property policy as outlined, we may terminate your child’s enrolment immediately and may choose to take legal action. We thank you for your understanding and respect of this important policy.

Privacy

What information do we collect?

When you visit our website, our system collects the IP address of the computer accessing it, along with your domain name, address of your server, the date and time of your visit along with the pages and documents you access. If you submit a form to us, we will collect the information you have entered to assist us in meeting your request.

How do we use the information collected?

The information collected during each visit to our website is aggregated and available only on that level so we can understand our users’ patterns of usage of the site and continuously improve it for families and students interested in our services. We do not disclose or publish any of this information in accordance with the New South Wales Privacy and Personal Information Protection Act 1998.

We will make disclosures to relevant authorities in accordance with existing privacy and information security regulations and laws should it be required to deal with an incident.

How we store information

Information we collect is stored in an appropriately safe format and deleted when no longer required for the purposes it was collected.

What we do with information provided as feedback

If you provide us with your feedback via the feedback form or other channels, we will not use your feedback for other purposes than responding to your feedback.

Newsletter subscriptions

If you choose to subscribe to our newsletter, it will be on an ‘opt-in’ basis, and you can unsubscribe at any time. We will only use your details for the purpose of sending you the newsletter via email. You may be offered special Swot Shop promotions from time to time outside of the newsletter cycle if we believe they are of interest to you. You can also choose to unsubscribe from those at any time.

Our newsletter and promotions may be delivered to you via a third-party communications agency who may be provided with your details for that purpose. They will not share your details with anyone else nor use it for any other purpose. Your information will be deleted if you unsubscribe.

Cookies

The Swot Shop uses cookies to identify your browser and be able to track your browsing behaviour upon return to the issuing web site. This helps us to understand how we best serve the users of our website. Cookies do not identify names or email addresses and cannot access anything on your computer.

This policy is amended as required as legislation and regulations change.
